How do I create my first project?
From the home screen, tap Settings then Manage Projects. Tap the + button to create a new project. Enter your site name, project number, postcode, and add your gate locations. Tap Save and you're ready to start inspecting.
How do I conduct an inspection?
Tap New Inspection from the home screen. Select your project and gate. Enter the vehicle registration — the app will automatically look up the vehicle details from the DVLA. Work through each section: FORS accreditation, vehicle compliance, driver checks, and route information. Record your access decision and tap Save.
How does the DVLA vehicle lookup work?
When you enter a vehicle registration, Site Gate Check queries the DVLA database to retrieve the vehicle make, fuel type, CO₂ emissions, and engine details. This happens automatically and requires an internet connection. If you're offline, the data will sync when your connection is restored.
Where are my PDF reports stored?
Every completed inspection generates a PDF report that is automatically uploaded to your iCloud Drive. Reports are organised by project name in the Files app under Site Gate Check. These PDFs form your permanent audit trail and are never deleted by the app.
Can I use the app offline?
Yes. You can conduct inspections without an internet connection. DVLA vehicle lookups, route calculations, cloud sync, and NCR emails will all complete automatically when your connection is restored.
What is route mapping?
Enter the vehicle's previous postcode to calculate the journey distance and estimated CO₂ emissions. The app generates a route map showing the path taken, which is included in the PDF report. This helps you track delivery distances and environmental impact.

How do I share a project with gatekeepers?
Open your project settings and tap Enable Sharing. This generates a unique invite code. Share this code with your gatekeepers — they'll use it to request to join the project. You'll receive a push notification when someone requests access, and can approve or reject from the project settings screen.
How do I join a shared project?
Tap the Join button on the projects screen. Enter the invite code provided by the project admin, along with your name. Tap Request to Join. You'll receive a push notification when the admin approves your request. Once approved, the project appears on your device with all gate locations ready to go.
Can gatekeepers see inspections from other gates?
Yes. All inspections from approved gatekeepers sync automatically across the project. The admin receives all inspection data and PDF reports regardless of which gate they were conducted at.
What is a nonconformance report (NCR)?
During an inspection, you can raise a nonconformance to flag a compliance issue. Add a description and evidence photos. The NCR is highlighted on the inspection PDF and automatically emailed to the project's NCR contact. The vehicle is flagged so any gatekeeper on the project is alerted if the same vehicle returns.
How do flagged vehicles work?
When a nonconformance is raised, the vehicle registration is automatically flagged. If that vehicle arrives at any gate on the project, an alert pops up showing the original NCR details. The gatekeeper can acknowledge the alert and, if the issue has been resolved, record the resolution with a description and evidence. This clears the flag and records the resolution on the PDF.
How do I set up NCR email notifications?
In your project settings, enter the email address where NCR reports should be sent in the Nonconformance Reporting section. You can enter multiple email addresses separated by commas. When any gatekeeper raises an NCR on the project, the full inspection PDF is automatically emailed to these addresses.

How does the free trial work?
You get 20 free inspections with no sign-up or credit card required. Simply download the app and start inspecting. When you've used your free inspections, choose an Admin or Gatekeeper plan to continue.
What's the difference between Admin and Gatekeeper?
Admin is for site managers who need to create projects, enable sharing, and invite gatekeepers. Gatekeeper is for operatives at the gate who join shared projects to conduct inspections. Both roles can raise NCRs and generate reports.
What's the difference between monthly and time packs?
Monthly subscriptions renew automatically each month and can be cancelled anytime from your iPhone Settings. Time packs are one-time purchases for 1, 3, or 6 months with no automatic renewal and no recurring charges.
How do I cancel my subscription?
Monthly subscriptions are managed through Apple. Go to iPhone Settings, tap your name at the top, then Subscriptions. Find Site Gate Check and tap Cancel Subscription. Time packs expire naturally and don't need cancelling.
What happens when my plan expires?
Your inspection data and PDF reports remain on your device and in iCloud Drive. You won't be able to conduct new inspections until you renew, but you can still view and export existing data.
How do I restore my purchases?
If you've reinstalled the app or changed devices, open the subscription screen and tap Restore Purchases. This will restore your active subscription from your Apple ID.
I have a redemption code — how do I use it?
Open the subscription screen and tap Redeem Code. This opens the App Store redemption screen where you can enter your code. Your access will be activated immediately.
Data & privacy
How your data is stored and protected.
Where is my data stored?
Your inspection data is stored locally on your device and backed up to your personal iCloud account via Apple's CloudKit service. PDF reports are stored in your iCloud Drive. No data is stored on third-party servers.
Can other people see my inspection data?
Only approved members of a shared project can see inspections for that project. Shared data is transmitted securely via Apple's CloudKit service. No data is publicly accessible. Your personal projects remain completely private.
What data does the DVLA lookup access?
The DVLA lookup retrieves publicly available vehicle information: make, model, fuel type, CO₂ emissions, engine capacity, and MOT/tax status. No personal data about the vehicle owner is accessed or stored.
How are NCR emails sent?
NCR notification emails are sent via Brevo, a secure email delivery service. Emails are sent from NCR@sitegatecheck.co.uk and include the inspection PDF as an attachment. Email addresses are only used for NCR delivery and are not shared with any third parties.
Can I delete my data?
You can delete individual inspections by swiping left on them in the search screen. To remove all data, delete the app from your device. PDF reports in iCloud Drive can be managed through the Files app. For complete data removal, contact support@sitegatecheck.co.uk.
